Email Settings
Sending email using Artsystem5 is a streamlined process that can be initiated for records within any module and also for reports. After linking an active email account, users may send mail directly from A5 using SMTP (simple mail transfer protocol) relay service. For convenience, all A5 databases include predefined fields for a generic email account artsys5info@gmail.com. Users are encouraged to update these fields and establish their own account configuration.
Use the link below to view a comprehensive email setup document PDF that contains complete information for configuring email accounts, including details for users of Gmail and MS Office 365.
Email Account Configuration PDF
IMPORTANT: The email settings found here on the Advanced panel are for a GLOBAL account that is shared by all users of the database. To configure accounts for individual users, use the SETTINGS>User Details panel instead.
Prior to configuring email in Artsystem5, the following pieces of information should be obtained directly from the email service provider for each email account that will be set up:
- Outgoing mail (SMTP) server
- Outgoing mail (SMTP) port number
- Secure authentication required?
- Account username
- Account password
NOTE: Artsystem5 is not an email browser and the email feature can be used only for outgoing (sending) mail delivery only. There is no inbox or option for incoming email configuration.

A5 Cookies and Cache
Artsystem5 is a browser based application that uses information technologies called cookies and cache to store data on the client machine.
- Cookies contain data about local user preferences. When the browser loads the website, the cookie notifies the server of the user's previous preference activity related to A5.
- Cache is temporary browser storage of website assets, downloaded to help display content and provide better performance.
Active users may find that certain problems, like loading performance or error messages, are fixed by clearing these items regularly. Refer to browser documentation for instructions on manual and automatic clearing. Click the Clear A5 Cookies button on this page to remove the active A5 cookie from the browser.
IMPORTANT: When using the Clear A5 Cookies button or clearing the full cache through the browser, the A5 application will LOG OUT, returning the user back to the blank sign in page.
