The General Settings panel includes options that are basic or inherent to all areas of the Artsystem5 application environment.
Load Calendar on Start-up
Toggle the appearance of the shared calendar on startup of Artsystem5. To see events populating the Calendar interface, be sure to set a Starting Date in the past.
Prompt to Save Changes when navigating Details
Enable this option to prompt the user to save changes when records have been edited, but the user has not clicked Save, Close, or Cancel Edit button, and proceeds to another work record using the navigation in the preview pane.
Enable 'Add to List' prompt in Detail windows
This option will prompt the user to Add to List when any list items have been edited on a record detail.
Example: if a new criteria is added to the Media field on a Works record detail with this feature turned OFF; the edit will be saved, but user will NOT be prompted to add this new criteria to the drop-down list for future data entry. If you wish to add new items to the module lists when editing, be sure that this option is enabled.
Enable Multi-Factor Authentication
This option enables advanced login features for enhanced security. When enabled, user logins to the database will require a second authentication according to the Interval, confirmed by email or text message. Further configuration is necessary within the SETTINGS>User Details pane.
Reference Colors: Status and Ownership
Status and Ownership are concepts that are integral to the Artsystem5 environment, and are found throughout the application. The General Settings pane includes a key to the default colors that are used. The colors can be adjusted by the user by clicking on the respective box and using the wheel to pick a new color assignment.
STATUS
- Assignments for Available, Sold, Out on Offer/Exhibition/Loan/Consignment are governed by Transactions, and will be adjusted automatically with transactional activity linked to Work records. The transaction history for a record can be found on the record detail Activity tab.
- Reserved, Inactive, and Not For Sale are governed by checkboxes on the main Details page for a Work record. These colors will override the other Status colors until the box has been unchecked.
OWNERSHIP
- These color options indicate the Type of Ownership for the work record. Unlike Status, there can only be ONE ownership designation for a Work, which is assigned when the record is created.
- Work ownership, and the matching color designation, can only be changed by using the Reacquire process.
