Reports are the most common type of output from the Artsystem5 database. There are many different types of reports, and they can all be generated using the same basic steps described below.
Gather Records
The most important step for creating a new report in Artsystem5 — defining the appropriate record set — happens before choosing the report itself. Gather a focused group of records prior to generating the report by ViewSet, Worksheet, Marking, or Search to ensure the best performance and most effective output.
NOTE: Running reports for very large data sets may take significant time to process.
Choose A Report
With the record set gathered in any module, click NEW > Report and choose a report name from the flyout menu list.
NOTE: All modules have the ability to produce a Spreadsheet report - which is user configured output from the Artsystem5 tabular content display. Some modules also have the ability to produce reports based on templates for labels, lists, documents, image presentations, and bookkeeping. Examples of many report templates can be found on the Artsystems website.
Run the Report
After choosing the report in the list, a popup window will appear displaying any options that are associated with that report. Some reports have no additional options, but others may have several to choose from, as in the Contact 5160 Label report options window below. Set all desired options before proceeding to run the report.
- Run - click this option to execute the report with the chosen options
- Cancel - click this option to exit the process without running a report
An animated "barbershop pole" icon will display in the Main Toolbar to indicate that the report has been sent to the server and processing is in progress.
Browser Preview
All reports will generate first within the browser as a preview of the final product. Confirm that the correct content is being displayed here. There are several options for output which can be found in the upper-right corner of the preview window.
- X - quit the report preview window
- Edit/Pencil - download an editable copy of the report as an RTF file
- Email/Arrow - send an email with the report attached as a PDF file
IMPORTANT: Due to differences in browser viewport, based on device screen dimensions and browser window size, the report output preview may appear to be askew or jumbled. In this case the Edit/Pencil option should always be used to downloaded the report as an RTF file and maintain the correct formatting.
