Check Mark
Integral to the basic function of all generations of Artsystems software. The check mark or Marking Tool facilitates list making, worksheets, and record selection. A single click on the check mark icon will toggle between marked and unmarked.

EXAMPLE: In the screenshot above, from the Works spreadsheet view, there are three records Marked and two records Unmarked.
Search / Magnifying Glass
Always represented by the magnifying glass, Search is found in several different areas of the application, including the Main Toolbar and when linking Contacts.
EXAMPLE: When editing the linked Contact for a Work Location, it is possible to use the Search Box to find the correct record quickly. Click on the magnifying glass icon to see a menu of available search parameters. In the screenshot, there is a choice available between Sort Name and Last Name.
Add New / Plus
The Plus always indicates the ability to Add New items. Most commonly used to add Contact records without interrupting the workflow of creating records in other modules, this icon is also seen in menus.
EXAMPLE: It is sometimes necessary to create Contact records "on the fly" - or during the creation of other records. In the screenshot above, the Plus button can be clicked to Add New Contact records, while in the process of choosing recipients for a new Private Viewing record. The new Contacts can be immediately added to the recipient list.
Edit / Pencil
The Edit button, represented by a Pencil icon, is found throughout A5 wherever linked items can be edited. Most commonly found paired with the Lookup Arrow for changing linked Contact records .
EXAMPLE: When a field is linked to a record in another module, such as the TO fields on a Transaction record, the field will be darker gray and is not directly editable. The example above shows how to edit the linked "Consign To" Contact on the Transaction by clicking the Edit Pencil icon to open the Contact Selection window.
Lookup / Arrow
The Lookup button, represented by an Arrow icon, is used in A5 for "looking up" - opening for view - any linked records. Most commonly found paired with the Edit Pencil .
EXAMPLE: When a field is linked to a record in another module, such as the Location or Artist field on a Work record, the field will be darker gray and accompanied by a Lookup Arrow icon. The example above shows how to "lookup" the linked fields on a Work record detail by clicking the Lookup button to open 3 different linked records (Artist, Edition, and Location Contact). Note that all 3 linked records were opened in separate tabs
Lookup Eye
The Lookup Eye button, represented by an Eye icon, is used in A5 where any new records can be linked. Most commonly found on Transaction record detail windows.
EXAMPLE: After creating a shipment with only 2 works, more records need to be added. When the Shipment Transaction record detail is open, click once on the next available row in the grid to reveal the Eye icon. Click the Eye to open the record selection window.
Close / X
Ubiquitous in information technology user interfaces, the X button is found throughout A5 as a means to Exit or Close an open window or panel. The X is also used to indicate that an item can be removed, such as an image attachment.
EXAMPLE: In the screenshot there are two X buttons;
1. Clicking the X button in the upper right corner will Close the Record Preview and Detail Panes.
2. The X button in the Images tab of the Work Detail is used to remove the primary image attachment.
Image Attachments
In Artsystem5, images in JPG format can be attached to almost any record in the database. There are several icons associated with image management, found on the Images Tab of any record detail.

EXAMPLE: On an Images Tab, use the Upload icons, adjacent to the primary and secondary image boxes, to open the Drop Zone popup window. Drag and drop JPG images to the drop zone for attachment to the record. For convenience, A5 primary image attachments can also be turned to a new orientation by clicking the directional Rotate icons. Click the X to remove the primary image.
NOTE: Options for the additional attachments (Remove Image and Make Default Image) can be selected by right-clicking the image. [Not shown]
Document Attachments
Although they are not displayed in the spreadsheet or in report output like images, Document attachments are more versatile because just about any type of file can be uploaded here; including document files, PDF, spreadsheets, images, zip archive, etc. Once attached, the document is available to download from the database.

EXAMPLE: On a Documents Tab, use the Attach icons, below the document list, to open the Drop Zone popup window. Drag and drop files to the drop zone for upload and attachment to the record. Click the – button to remove the selected document.
NOTE: Use the Bio or Infosheet attachment buttons to specify the type of uploaded documents.
Lock / Unlock
Found at the top of Transaction record detail windows. When the Lock icon is closed, or locked, the transaction fields can NOT be edited. Click the lock icon once to open, or unlock, the Transaction fields for editing.

NOTE: The lock icon will close automatically when a Transaction has been marked as Shipped and then Saved/Closed.
Expansion Arrow
Use the Expansion Arrow icon to enlarge the Works grid on any Transaction record detail, making more rows visible to the user. This is especially useful when the browser window is small or there are many listed works. Click the icon as needed to expand or contract the grid.
Rate Refresh
The Rate Refresh arrow can be found throughout A5, and is used to autofill and recalculate financial conversion rates. Click the icon to engage the rate menu, with options as shown in the screenshot below.
