The Share menu is where users can download CSV (comma separated value file) and CMS (content management system) export files from the database. The CSV file is a file easily opened in another spreadsheet application like Excel or Numbers and the CMS file is the CSV export plus Images.
To download CSV And CMS export files:
- Before downloading any files the user will want to go into Settings to determine what will be included in either download file. Select from the Main Navigation Menu Settings > Export
On the Settings >Export Pane first select the Export Type to edit : CMS Admin, Works CSV, Contacts CSV, References CSV or Editions CSV. Notice there are two main lists on the Pane: Available Fields and Selected Fields. Choose which fields to include in the Works CSV export by using the arrows in the center to select fields and place them in the Selected Fields list. The double arrow (>>) and (< <) will move all fields and the single arrow ( > ) and ( < ) will move fields one at a time. Once the fields desired for the export are in the Selected Fields list, select Save then select Close. Note also you can always hit Reset to empty out the Selected Fields list to start fresh. Note also you can highlight fields in the Selected Fields list and use the up/down keys on your keyboard to sort the items in the list.

The CMS Admin Pane is similar only it includes options for Images (note in the Selected Fields list include the Primary Image so you can match Image to Work records):
- Once the fields are selected for the CSV open Works and create a dataset of the works for export.
- From the Action Bar menu select Share > Download > Download as CSV. Select to save the file and users will find the find in the Downloads folder.
